SHIFT Thought Partner — Privacy Policy

This Privacy Policy explains how Schoser Talent and Wellness Solutions (“we,” “us,” or “our”) handles information when you use SHIFT Thought Partner (“SHIFT”).

We built SHIFT around a simple privacy principle: collect and retain what is needed to operate the service without turning private conversations into an owner-accessible monitoring system.

1. Information We Collect

Depending on how you use SHIFT, we may process the following categories of information.

Account Information

When you create and use an account, we may maintain information such as:

  • your name;
  • email address;
  • authentication information;
  • account settings; and
  • information needed to identify your account and protect access to it.

Passwords are handled through the authentication system and are not displayed to the owner of SHIFT.

SHIFT Conversation Information

When you use SHIFT, we store the participant messages you choose to send and the assistant responses generated as part of that conversation.

Conversation records also contain information needed for the application to function, such as:

  • conversation status;
  • the current S.H.I.F.T. lens or stage;
  • drafts or related participant state where applicable; and
  • whether a conversation is active, completed, or archived.

Voice Input

Voice input is optional.

When you finish recording voice input, the audio is sent through SHIFT's authenticated server to a transcription service.

The transcription is returned as text to the message box so you can review, edit, delete, or send it.

SHIFT does not maintain a stored copy of your recorded audio.

The transcription does not become part of your SHIFT conversation and is not sent to the conversational AI until you choose to send it.

Third-party transcription providers may temporarily process information according to their own service and retention practices.

Operational Information

SHIFT maintains limited operational information needed to operate, secure, troubleshoot, and understand the performance of the service.

This may include items such as:

  • whether an AI request succeeded or failed;
  • rate-limit events;
  • response time;
  • token or usage totals;
  • estimated processing cost;
  • current software or prompt version; and
  • other bounded technical events.

Operational telemetry is designed not to contain participant conversation text.

Individual participant safety labels and conversation content are not made available to the owner through the admin dashboard.

2. How We Use Information

We use information to:

  • authenticate users;
  • provide and restore SHIFT conversations;
  • generate AI responses;
  • transcribe optional voice input;
  • maintain the S.H.I.F.T. conversation process;
  • create requested SHIFT Reports;
  • enable printing or viewing conversations;
  • detect and respond to technical failures;
  • apply service limits;
  • maintain security;
  • provide participant support;
  • understand aggregate service performance; and
  • comply with applicable legal obligations.

We do not use the owner/admin dashboard to read participant conversations.

3. Artificial Intelligence Processing

When you send a message for an AI response, relevant conversation text may be transmitted to a third-party AI provider so the response can be generated.

SHIFT displays a separate AI-processing notice before your first AI response and records acknowledgment of the applicable notice version.

We do not intentionally send unnecessary account-identifying information to the conversational AI simply to generate a response.

AI providers may process submitted information under their own technical, security, and retention practices.

Nothing is sent to the conversational AI until you choose to send your message.

4. Voice Transcription Processing

Voice processing happens separately from conversational AI processing.

Step One — Transcription

After you finish recording, your audio is sent through our authenticated server to a transcription service.

The resulting text is returned to the message box.

Step Two — Your SHIFT Conversation

You can review, edit, or delete the transcription.

The text is not added to your SHIFT conversation or sent to the conversational AI until you choose to send it.

SHIFT does not persist a copy of the audio recording.

SHIFT displays a separate voice-processing notice before your first use of voice input.

5. SHIFT Reports

When you request a SHIFT Report, the service uses relevant information already contained in your conversation to create a structured summary.

The report is designed to remain grounded in the participant's conversation and to avoid turning unsupported AI suggestions into participant decisions.

SHIFT does not store the generated report as a separate permanent report record.

If you copy, print, or save the report yourself, that copy is outside SHIFT's control.

6. Printed and Saved Copies

SHIFT allows participants to print conversations or use a browser or operating system to save them as a PDF.

Files that you save to your own computer, phone, cloud-storage service, printer, or other location are controlled by you.

Deleting your SHIFT conversation or account does not delete copies that you have already saved outside SHIFT.

7. Owner and Administrator Access

The SHIFT owner/admin interface provides aggregate operational information such as account counts, conversation counts, AI usage, performance, estimated cost, and system health information.

The owner/admin interface is intentionally designed not to provide access to:

  • participant conversation text;
  • participant message content;
  • conversation titles for browsing;
  • individual safety flags; or
  • individual mental-health information.

Administrative access is restricted to the verified SHIFT owner account and is validated server-side.

8. Safety-Related Processing

SHIFT contains safety routing intended to respond appropriately when participant language may indicate distress, urgent risk, or a situation requiring professional judgment.

Safety functionality is used to determine the type of participant-facing response that should be shown.

SHIFT's operational telemetry does not store participant conversation text for this purpose, and internal classifier information is not displayed to participants or exposed through the owner dashboard.

SHIFT is not a crisis-monitoring service, and the owner is not monitoring participant conversations for emergencies.

If you are in immediate danger or experiencing an emergency, contact emergency services or an appropriate crisis service in your location.

9. How We Share Information

We may share or process information with service providers when necessary to operate SHIFT.

These may include providers that support:

  • authentication;
  • database and application infrastructure;
  • artificial intelligence;
  • voice transcription;
  • hosting;
  • security; and
  • related technical services.

These providers receive only the information needed to perform the applicable service.

We may also disclose information when required by law, legal process, or a valid governmental request, or when reasonably necessary to protect the security, rights, or integrity of SHIFT or others.

We do not sell participant conversation content.

10. Data Retention

Account and conversation information is retained while your account and applicable conversations remain stored in SHIFT unless you delete them or they are otherwise removed under our service practices.

SHIFT Reports are not separately persisted after generation.

SHIFT does not maintain stored copies of voice recordings after transcription processing through the application.

Limited operational records may be retained for security, reliability, usage accounting, troubleshooting, and service operation. These records are designed not to contain participant conversation text.

We may retain information when required by applicable law or when reasonably necessary to address security, fraud, legal claims, or enforcement obligations.

11. Conversation Deletion

You may delete individual conversations using the controls provided in SHIFT.

Deletion removes the stored conversation information associated with that conversation according to the application's deletion process.

Copies that you independently saved, printed, or exported outside SHIFT are not affected.

12. Account and Full Data Deletion

You may permanently delete your SHIFT account through Account & privacy.

The process requires deliberate confirmation because it is irreversible.

Successful account deletion removes participant-linked information stored by SHIFT, including:

  • conversations;
  • participant messages;
  • assistant messages;
  • drafts;
  • conversation stage/state information;
  • profile and account settings;
  • identifying account information;
  • participant-specific operational records; and
  • the authentication identity.

SHIFT also clears participant-related local application data associated with the deleted account.

After successful deletion, the account cannot be restored through SHIFT.

Deleting the account cannot remove copies you previously printed, downloaded, copied, or saved outside SHIFT.

13. Local Browser Storage

SHIFT may use browser storage where necessary for application operation, drafts, authentication-related state, or other participant-facing functions.

When a participant account is successfully deleted, SHIFT clears local application data associated with that account as part of the deletion process.

14. Security

We use technical and organizational measures intended to protect SHIFT and participant information.

These include measures such as:

  • authenticated access;
  • server-side authorization;
  • row-level database protections;
  • restricted administrative access;
  • separation of server-only credentials from the browser;
  • privacy-limited operational telemetry; and
  • controlled deletion processes.

No online service can guarantee absolute security.

15. Children and Minors

SHIFT is intended for adults age 18 and older.

We do not knowingly provide SHIFT accounts to children under 18.

If we learn that an account belonging to a person under 18 has been created, we may take appropriate steps to disable or delete the account.

16. Your Choices

Depending on the feature, you can:

  • choose whether to use voice input;
  • review transcription before sending it;
  • edit or delete unsent text;
  • delete individual conversations;
  • archive or restore conversations;
  • print or save your own conversation;
  • generate a SHIFT Report;
  • stop using SHIFT; and
  • permanently delete your account and stored participant data.

Depending on where you live, applicable privacy law may provide additional rights.

17. Third-Party Services

SHIFT relies on third-party technology services to provide certain functionality.

Those services may maintain their own privacy, security, and retention practices.

Use of SHIFT does not mean that Schoser Talent and Wellness Solutions controls every aspect of a third-party provider's infrastructure or independent legal obligations.

We evaluate the SHIFT experience based on the privacy boundaries and behavior of our application, while recognizing that external providers process information required to provide their services.

18. International and Location Considerations

SHIFT is currently designed primarily for use in the United States and provides U.S.-focused crisis information along with broader resources where available.

If you access SHIFT from another jurisdiction, information may be processed in the United States or other locations used by our service providers.

19. Changes to This Privacy Policy

We may update this Privacy Policy when SHIFT, our service providers, legal requirements, or our privacy practices change.

When we make changes, we will update the effective date.

When appropriate, we may provide additional notice or ask you to acknowledge a revised policy.
